Quote Management – Quote Simple. Quote Smart

Quote Simple. Quote Smart

Shouldn’t Quote management be a part of the CRM solution itself? This is a classic question we hear from our customers very often. They are really puzzled when we tell them that an opportunity, to some extent, is the CRM’s final touch point. Once an opportunity is won, it is assumed that it gets converted to an order in another back-end system and then it is processed. But there’s something between these two, which is the quote process.

Agreed! Not all businesses use quotes, but at the same time a considerable number of businesses do use quote management and they wonder – between an opportunity and an order, shouldn’t there be a quote step? This is very important for them because this is one of the key sales tools that is being used very often.

You are in front of the customer, sitting across the table, discussing something and expressing interest in certain aspects and then the expression is converted into a soft interest by creating a quote. It then becomes a hard interest when you convert it into an order at a later point of time. But the soft interest phase is something which is very interesting. From the first point in which you create a quote with some indistinct details – with some numbers and dates and other parameters, it becomes a conversation starting point and later becomes a running document. As a result, multiple versions of it get created, prices change, the quantities change, the delivery dates change, the delivery locations change, the overall pricing changes, discounts, packs, shipping all these elements showing a variable characteristic will have a tendency to change. It’s as good as a real order but it’s basically a soft commitment. So, this is something which is quite common and most of the organizations solve this problem by implementing their own quote management solutions which are outside the CRM framework.

Typically, CRM talks to the quote management system, once the opportunity is ready to become a quote, a trigger is sent from the CRM to the quote management system with all the relevant details and the quote is generated. The quote process actually happens outside CRM.

Quote Management

But the trend is that people want to see what happened to a quote after it is created. It can’t be another system. People don’t want to jump windows and also, they want to have complete visibility about what is happening in a particular opportunity. Till a quote is accepted by the customer representative, the opportunity is not considered as closed. So they want to know what’s happening on the quote side, how many versions have been created, which ones are sent to the customer, when was it sent, was it sent as an email attachment or was it sent as a printed copy, what was the customer reaction, when did they see it, when they plan to complete it or close it. These are some details sales rep wants to see in their opportunity view itself and they end up achieving it in one of the two ways:

First one is, if the quote management solution the customer using is strong, then we integrate CRM with it. We bring quote into the CRM, we allow CRM to send data to the quote management system and so on. Else if the customer is not having a quote management system and having a system which is very outdated or sometimes the quote management system can even be heavy – heavy in the sense that they may be looking for a simple quote management solutions but they might have gone for a implementation whereby a really heavy weight quote management system is implemented and the sales people are really puzzled on how to use it and they end up not raising quotes in the required numbers. In such cases, they build small quote management functionality inside CRM. It is very simple and straight forward but at the same time, you have to understand the process very well.

How CRMIT can support you?
Accelerate Revenue through Quote ManagementWe have worked with a number of customers and have understood that the quoting process in general is having a fine thread which is common across companies and variations are added on top of it. So that’s where we thought we will create our own quote management solution which sits inside the CRM. It is not a heavy weight system that you need to host elsewhere and then integrate with CRM, switch to it whenever necessary. It is ‘within’ the CRM. So it uses CRM’s architecture, it uses CRM’s own objects, hence it is well connected, easy to access, quick to use as the information need not be pulled out from a third party system. So that’s one of the very key features which add value to the CRM flow by just adding a quote piece to it.

Mobile Quote – Anywhere, Anytime, Any Device

Another common trend that we are observing now is the mobile quote. When reps travel a lot, they carry their mobile devices, tablets and other portable devices and they want to create quotes when they are in front of the customer. Of course they may be connected or disconnected, but all the details that are required for creating a quote should be available to them so that they can create a quote, across the table and can show it to the customer. Once everything is done, the customer says ‘”yes, you send me the quote”, the rep just presses a button and the quote goes to the customer in the format they prefer. This can be improved further by integrating it to a digital signature system so that the customers can readily sign the document in the mobile device itself, or using their Email/ an online digital signature system. This means, system drives the call for action and makes sure that the sale is won.

In short, this is something which is really transforming. Basically, you are moving from your simple cataloging system to a system whereby you can showcase your products and quickly create a quote and then send it across to the customer. This basically completes the loop as far as the purpose of that meeting is concerned. Many of our customers are moving towards this important milestone. Mobile quoting is something that will really transform this industry and CRMIT is working towards bringing the best mobile quoting experience to CRM sales persons using a system which resides inside their CRM so that no learning and unlearning is required. They use the system exactly as they normally use the quote management system and get this important piece of work done within the system itself. We believe this will really provide huge value add to our customers and we are excited to work with variations of the same application and help our customers raise better, customized quotes and close the business quickly.

The Future of Oracle CRM On Demand: Roadmap and Strategy for Continuous Innovation

Continuous-innovation-and-value-to-customers

The future of Oracle CRM On Demand:

Oracle CRM on Demand or simply OCOD, is presently 26 releases old. This and few of the releases in the recent past indicates the commitment Oracle has towards this product. Also, it has brought in sigh of relief among Oracle’s customers and partners who otherwise thought that the product has reached its end and Oracle would show apathy towards it.

Below paragraphs are attempts to summarize a list of reasons why one should look forward for using OCOD instead of looking for alternatives.

Mobile capabilities

It is out in open, Mobile and Cloud technologies are the 2 concept that would shape the way business are done in years to come.

System which can only present data to a sale reps on their computer screen seems naive these days. World is looking for systems which can find information while they are on the move.

Significant investment was seen from Oracle to make OCOD a mobile enable product. It looks the end result set as objective was a system that is not just informative and sensible but also responsive and pretty at the same time.

2 enhancements OCOD Disconnected Mobile Sales and OCOD Connected Mobile Sales are outcome of this very investment. Both being sales centric apps, provides access to data and ability to manage Contacts, Tasks, and Appointments with ease.

CRM On Demand Mobile Capabilities

RESTful APIs Support

Continuing the mobile enablement strategy, OCOD will soon be introduced to RESTful APIs to support mobile based solutions. This feature, once introduced, doubles up the possibilities and increases the range of solutions that can be provided on the system.

Late last year, OCOD witnessed similar ground breaking release in the form of Javascript APIs. Almost a year past and now it is evident to all how it has changed the way custom solutions are designed on this system.

It is not just the utilities these API brings in make them ground breaking but, the fact that they are low maintenance, cost effective and increases overall UX.

Social Integration

Less than half-a-decade ago there were times when businesses were looking for systems that could generate leads through their websites or enable customers to raise enquiries through them. The fact that it can be termed as a thing of the past shows the pace with which CRM as a concept has evolved. Today’s world is looking for systems which to generate leads from Social Networking Sites and Forums.

OCOD’s new integration abilities with Oracle Social Relation Management (SRM) are steps in the same direction. SRM in itself a matured product suite, has in-built features such as Social Engagement and Monitoring (SEM), Social Marketing (SM) and Oracle Social Network (OSN) is now couple with OCOD’s Marketing, Sales and Service capabilities. It already seems a potential winner in this space at the moment.

Report API

Today, it is hard to find any product that could challenge Oracle BI (Analytics and Reporting) tools for its potentials. Built on the same framework, OCOD Reporting tool will see another feather in its hat. Soon to released Report API allows reports to be executed offline and results can be scheduled and sent over an email.

This means sales manager would not have to log on to his OCOD to review the stats and track the progress of his team as it would be readily available to him every morning in his email client.

Oracle Cloud Marketplace

Ever since Oracle made Cloud Marketplace available, innovative products have been pouring down the alley. It is a great place to find business apps for Oracle cloud. This platform has opened up vast opportunities for stakeholder to showcase their ideas and solve complex business problem at the same time.

Recently, OCOD has found it ways into Marketplace and soon we will witness interested apps up there for our businesses to use.

One would agree that even without these enhancements, OCOD still is one of the most comprehensive CRM solutions available on Cloud today.  With further investments in pipeline, it doesn’t seem this decade old product is going to give up without a fight when put against heavy weights such as Oracle Sales Cloud and Oracle Service Cloud both put together.

Driving Sales by Leveraging Analytics with Oracle Sales Cloud

Sales Analytics

So what does it take to give an accurate forecasting?

For an organization, it’s important that the sales rep achieve their numbers (the one they predicted). It’s known fact that underachieving is dangerous. It is equally true, though may not be agreed upon that overachieving (with higher margin) is equally dangerous. Though we can applaud, for overachieving, but we cannot undermine the cause – effect. The entire SCM planning would go for a spin, which could equally lead to damage to the brand.

Though, we should encourage the Sales Team to overachieve the numbers, but we should ensure that is predicted well in time. Oracle Sales Cloud Analytics facilitates the same.

The sales cloud dashboard gives a comprehensive view of the data. The commonly configure reports are Actual Vs Quota this is view which enables you to view what is the gap between your forecast and actual. There are various support reports like Top Open Deals, Pipeline, Team performance and Push Counter. The Push Counter reports shows the deals that have been pushed from the last quarter to the current.

Oracle Sales Cloud analytics

Following are the key feature added in oracle Sales Cloud 8:

CONFIGURABLE SALES DASHBOARD

The new Sales Dashboard contains pre-built reports and charts that help you sell more. These reports provide insights into your open pipeline, deals that moved out of the current quarter, team performance, and historical opportunity trends. You can tailor these reports for sales executives, sales managers, or sales representatives.

HISTORICAL OPPORTUNITY TRENDING

You can now create custom reports to track the historical progression of opportunities across sales stages. Review daily, weekly, monthly, quarterly or yearly revenue trends; and further analyze revenue trends by product, resource or territory.

HISTORICAL FORECAST TRENDING

You can now analyze forecast trends and compare the forecast to key analytics such as pipeline, won revenue, and quota. Forecast metrics will remain historically consistent and accurate across forecasting periods even if product or territory hierarchies change.

EMBEDDED REPORTS IN SIMPLIFIED UI

You can tailor the Oracle Sales Cloud simplified UI to show standard or custom reports where your sales team needs them most. Use Page Composer to embed actionable reports on the following pages:

Analytics Page: The Analytics homepage includes eight subtabs for reports. The first three subtabs show standard reports. The other five subtabs are customizable, but hidden and blank by default.

List Pages: The Leads, Opportunities, Accounts and Contacts list pages include three subtabs for reports. These tabs are customizable, but hidden and blank by default.

Detail Pages: The Leads Opportunities, Accounts, and Contacts detail pages include three subtabs for reports. These tabs are customizable, but hidden and blank by default.

PRE-BUILT REPORTS FOR LEADS, OPPORTUNITIES, ACCOUNTS, FORECAST, AND PARTNERS

You can now use these preconfigured reports to measure your sales performance:

Leads: Team’s Leads, My Leads by Age, and My Open Leads by Source.

Opportunities: My Team’s Performance, My Team’s Pipeline, My Team’s Leadership Board, My

Performance, My Pipeline, Top Open Opportunities, Sales Performance Trend, and Sales Stages by Age.

Accounts: My Top Accounts.

Forecast: Forecast Compared with Quota, Team Forecast Compared with Team Open Pipeline, and My Forecast Compared with My Open Pipeline.

Partners: Partner Performance, Open Pipeline, Partner Leadership Board, and Partner Win Rate.10

CUSTOM REPORTS FOR OPPORTUNITY TEAM AND CONTACTS

The following two new subject areas allow you to create custom reports on opportunity team and opportunity contact:

Sales – CRM Opportunity Team

Sales – CRM Opportunity Contact

These subject areas include the details about the role of the team members and the role of the contact on each opportunity. These subject areas also allow you to generate a report of a summary view of all the opportunities involving a team member or a contact.

CUSTOM REPORTS FOR ACCOUNT TEAM

The following new subject area allows you to create custom reports on Account Team:

Sales – CRM Account Team

This subject area includes the details about the role of the team members on each account. The subject area also allows you to generate a report of a summary view of all the accounts involving a team member.

REPORTING ON CONTACT ATTRIBUTES

With the new contact model enhancements, you can create custom reports about standard contact attributes, such as job title, sales affinity, and relationships between accounts and contacts.

The Contact model now uses the same security rules as the Contact object in Oracle Sales Cloud. This ensures that you can see the contact data in the report only if you have access to the contact data.

AUDIT REPORTING

Audit reporting allows you to track the usage of the Oracle Sales Cloud application. With audit reports, you can see who made what changes in the application and when. You can also configure your reports to control who can view the audit information.

SALES PREDICTOR

Using the Attribute Analysis report, you can determine which customer attributes are important for lead generation and qualification based on data quality. The Association Model report provides critical information.

Drive sales with Oracle Sales CloudThe way customers buy has changed.

It doesn’t matter which product or service you sell, your customers have changed their expectations and purchase process already. Whether you are prepared for it or not, they expect you to interact in a different level when making any sales communications.

For  example, when a sales person speaks to a potential customer, they expect him to provide valuable information that will make their purchase decision easy, not the standard product literature. They expect the sales person to have information in the finger tips and the process to flow naturally instead of creating any inconvenience to the customer at every stage.

Hence, Organizations are currently in the process of moving their sales CRM solutions, as well as business processes to suit this modern way of selling. They need a solution which understands the requirements of the market and dynamically adjusts itself implementing all the best practices. They expect the solution to be very simple and straightforward, so that training new sales team members is easy and they can focus on what they are good at, selling!

Oracle Sales Cloud is a mobile ready solution. It uses an insight driven business process where data as well as business intelligence is always available at the right place. Sales executives can use a collaborative approach to win. Its intuitive UI is fast, easy and customizable.

Aligning Sales and Marketing with Oracle Eloqua and Oracle Sales Cloud

align_marketing_sales

Marketing budget, leads generated, deals closed, sales credits. These are the terms normally heard when we talk about Marketing & Sales teams and their contribution towards revenue generation. It’s very important to break down sales & marketing silos for a revenue generating business and co-existence.

At times we see marketing complaining about low lead conversion ratio, lead bucket getting piles up without any sales follow-up, missing key prospects etc. In return Sales could complain about quality of leads being provided by Marketing, dilemma of which leads to follow-up, in-complete information of their prospects. Identifying the credit for deal closures

Few areas to help break silos and align Sales & Marketing:

  1. Establish common terminologies – What Marketing understands a lead could be completely different than what Sales understand, who are leads? Who are contacts? The definition of a qualified lead.
  2. Define overlapping business process – It’s important to overlap the existing business process of marketing with the process of sales which would help them collaborate, co-exist and endorse each other.

A well-defined process of conducting marketing campaigns, targeting right suspects / prospects, running right lead scoring from Marketing side could overlap with Lead assignment & qualification from Sales teams.

Regular follow-up from sale , conducting/proceeding through their Sales Cycle & possibility marking (flagging) marketing team for any ongoing Nurture campaigns or sales campaign( if required ) by Sales to push extra step towards sales closure.

  1. Review & Perform Close Looped Reporting – This helps in identifying the key contributors for revenue generation. Identifying the marketing campaigns run across the financial year and their contribution to conversion in conjunction with Sales team contributions of regular follow-up, going through their sales cycle etc.

For Marketing the ROI could be on different parameters:

  1. Number of lead generated from campaigns, irrespective of sales conversion
  2. Amount of traffic generated to company website
  3. Brand awareness
  4. Email clicks, opens etc
  5. The actual revenues generated in terms of deal closures

Review and results of closed loop reporting would help understand the Marketing & Sales touch point for deals from Suspect/Prospects to Customers

Oracle CX application on integrated Marketing & Sales Cloud help flow of information b/w Marketing and Sales with quality MQL to SAL and break silo.

Amplify Performance with a Disconnected Mobile App for Oracle CRM On Demand

Mobile enabled Oracle CRMOD

It is very much agreed upon by most businesses that Mobile is where the future business lies. Talking about Mobile devices, names such as Google, Apple, Microsoft are quiet synonyms. Thanks to their ever popular Operating Systems (OS) and insanely growing applications at their respective app stores.

In the recent years, one other name that has made its way in the mobile world is Oracle. Yes you read it right, Oracle it is.  It may come as a surprise to some but Oracle had it in them for almost half a decade.

Ever since they introduced their now famous development framework, Application Development Framework (ADF), they seem to have set their sight on Mobile platform.

CRM On Demand Mobile Capabilities

Oracle’s ADF Mobile is their framework, part of Fusion Architecture that would, in future, make all of their Fusion based Applications mobile enabled.

In their own words “Oracle ADF Mobile enables developers to build and extend enterprise applications for iOS and Android from a single code base. Based on a hybrid mobile architecture, ADF Mobile supports access to native device services, enables offline applications and protects enterprise investments from future technology shifts.”

Currently, it is iOS and Android enabled and works with HTML5 enable browsers. This, alongside other mobile based Javascript frameworks such as JQuery Mobile, Knockout Mobile etc. are bound to make Enterprise applications more responsive and intelligent.

It seem that Oracle’s investment in making all of their enterprise applications mobile enabled is to answer that one big question “Why can’t I get important data when I am on the move?”.

Especially in CRM world, imagine Sales Reps having their customer data handy on their mobile devices and for Sales Manager, to be able to track their Field Reps Geo location for increased transparency.

Two of Oracle’s prominent CRM products on Cloud, Oracle CRMOD and Oracle Sales Cloud are already mobile aware. One can use them on the mobile device with the same ease and UX as on their desktops.

One of the interesting features worth waiting for is the Offline/Online capabilities. It is said that business users can use the application in the offline mode and synchronize their data once they are online.

It is also learnt that Oracle CRMOD, presently in its Release 26, is being upgraded to have some exciting new services on Restful APIs to make integration of custom app on mobile devices possible.

When discussing about CRM space, it is unfair to not mention Sales Force and their new Sales Force1 mobile platform.

Salesforce seem to have taken the fierce competition well, this new platform of their seems quiet naïve as yet but is progressing well with each release

Presently it seem Oracle is ahead of the game with their Disconnected Behaviors, Security options capabilities already enabled in some of their fusion applications.

There are serious comparisons being made between to 2 platforms and only time will tell who would emerge winner. But one thing is certain, businesses now can look forward to being mobile empowered and see their businesses serve their customer better.
